Job Summary

The Live Arts Miami Administrative Coordinator supports grant development efforts and is responsible for the department’s budget reconciliation, contracts and event coordination. This position supports ongoing departmental operations and provides support in the areas of events, grants, and finance.


Duties & Responsibilities

Manages departmental finances by processing payments, budget transfers and reconciliations
Tracks and records internal expenses/revenues and produces monthly financial reports
Prepares and issues department contracts with artists, vendors and contractors
Prepares box office event builds in ticketing platform, monitors sales, and generates ticketing reports
Coordinates artist services, including catering, hotels and transportation
Works with the grant writer to prepare grant application forms, budgets and support materials
Handles grants compliance including contracting, fund set-up and final financial reports
Issues, gathers and compiles survey data on all programs
Provides accurate information to internal/external partners, colleagues and potential customers
Provides administrative support for department operations
Performs other duties as assigned

Minimum Requirements

Master’s degree in appropriate field with one (1) year of experience in arts administration, accounting or related field; or Bachelor’s degree in appropriate field with five (5) years of related experience
All educational degrees must be from a regionally accredited institution
Knowledge and understanding of College organization, goals and objectives, and policies and procedures
Excellent accounting skills, with keen attention to detail
Possess superior organizations skills and the ability to guard confidential information
Strong computer literacy including knowledge and proficiency in Microsoft Office applications
Ability to work independently on multiple tasks with sharp problem preventing and solving skills
Possess excellent written and oral communication skills
Ability to work a flexible schedule which may include evening or weekend assignments
Ability to travel to special events and MDC campuses
Ability to work well in a team-oriented, multi-ethnic and multi-cultural environment with students, faculty, staff, community partners and artists
Experience in grants management
