The Chopin Foundation is seeking a part-time Arts Administrator and Production Assistant. The Arts Administrative Assistant and Events Coordinator will be an integral part of the CHOPIN team, working collaboratively with the Executive Director and others. They will assist with daily office operations, maintain accurate member and donor records, and support Foundation concerts and special events. This position provides opportunities to interact with the general public, visiting artists, Chopin Foundation Members, and the Board of Directors. This individual will ensure that all office systems function smoothly, while researching and suggesting improvements where needed.
Responsibilities include, but are not limited to:
• Assist with membership and donor administration, including acknowledgment letters, renewals, and CRM database (Bloomerang) maintenance.
• Support promotion of the Foundation’s concerts, including CHOPIN for ALL, CHOPIN Salons, and partnership events through social media and online campaigns.
• Support planning and production of Foundation concerts and events. Requires attending events on weekends and some evenings.
• Assist with editorial needs for printed and digital materials, including season brochures, postcards, and concert programs.
• Provide general office assistance (filing, phones, mailings, supplies, etc.).
• Other duties as assigned by the Executive Director and others.
Qualifications:
• Tech savvy, MS Office proficiency (word, excel, outlook, teams), Canva or InDesign experience helpful
• 1 to 2 years of directly related experience required
• CRM/database experience is a plus.
• Event production/coordination experience desired.
• Bachelor’s degree or work equivalent desired.
• Knowledge of and appreciation for classical piano repertoire a plus. Fluent written and spoken English is essential; Spanish a plus but not required.
Hours: Available to work 2-3 days a week, up to 20 hours per week. Hours are flexible during normal working hours (10 am – 6 pm) with weekend hours required for events. Potential to grow into a full-time position. Hourly rate commensurate with experience, starting at $18/hour.
