The Programming Administrative Assistant provides administrative support and contract review and editing to the Programming Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Create and maintain Event Books and Ticket Riders (TR) for all Programming Department events and coordinates with constituents to assemble all required details.
- Submits event sales and attendance to Pollstar, Box Office Network, and Venues Today.
- Assists with Summer Theater Camp as assigned.
- Answer phones and act as gatekeeper for external requests.
- Coordinate travel arrangements following for the Programming and Marketing Department.
- Organize departmental receipts and submit expenses on timely basis.
- Act as Assistant Company manager for all in house produced shows including Summer Camp.
- Manages departmental finances in accounts payable.
- Review self-presentation and producing contracts for appropriate and applicable language.
- Manages the contract process including drafting, editing, tracking documents, obtaining institutional approvals, insurance and communicating with artist's management, agents, and coproducers to ensure timely distribution of fully executed documents to relevant departments.
- Maintains electronic filing system and hard-copy as needed.
- Requests and tracks artist deposits, artist's fee balance payments via company check and bank wire, and show related expenses for self-presentations and co-pros.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
- Able to understand and decipher artists' contracts and event riders.
- Knowledge of entertainment law preferred.
- Able to understand and willingness to learn all aspects of event settlements and budgets.
- A talent for being well organized, detail oriented and great with time management.
- Skilled at multi-tasking and working on tight deadlines in a high pressure environment.
- Able to work flexible hours, including nights, weekends and holidays as needed.
- Experience working in a large, complex organization and general venue operations knowledge.
- Strong ability to communicate effectively, both verbally and written, in English.
- Skilled in Windows based programs including Word, Outlook, Excel, and PowerPoint, Adobe software and Foxit.
REQUIRED EDUCATION AND EXPERIENCE
- AA/BA degree or higher in Business, Theater/Venue Administration or equivalent combination of training and experience. Paralegal degree or experience preferred.
- Minimum 2 years working in a business office, administrative or executive support role.
