The Registrar reports directly to the School Director and assists with all school administrative and financial issues including program coordination, parent and student communication, staff communication, financial tracking and policy implementation. This position is responsible for all aspects of the students’ enrollment process, maintenance of the student database and the collection of tuition.

Customer Relations

  • Greet, assist and/or direct students, visitors and the general public
  • Maintain positive relations with School parents and students
  • Maintain School registration materials for all programs
  • Answer phone calls and assist with all school related questions
  • Prepare, schedule and follow up on all placements/auditions.
  • Promote school events, classes and related products as necessary
  • Open/ Close facility as needed

Administrative Duties

  • Create and maintain an annual Planning Calendar to ensure administrative duties are completed on schedule.
  • Assist School Director with written communication (letters, memos, emails, etc.) and other printed documents.
  • Assist with coordination of scholarship program and maintain all relevant records
  • Maintain School email and send email updates to staff and parents regarding schedule changes, programs, special dates, issues, events, etc.
  • Assist School Director with the maintenance and changes of the daily class schedule; distribute to school staff, faculty, and pianists.
  • Prepare Student Packets for new school year; ensure that contents are current including class schedule, tuition, policies, school calendar and dress code.
  • Assist in maintaining sales and attendance records for School fundraisers, School productions and any Company productions that involve School students, as needed.
  • Work backstage as chaperone at all School performances and theatre rehearsals, and as needed with productions involving students.
  • Create mail merges for placement letters, packets and other mailings.
  • Coordinate set up of chairs for parent observation weeks, and other facilities needs during special programs (such as Summer Camp, Summer Intensive, auditions and invited rehearsals).
  • Maintain school staff contact sheet.
  • Provide School Director and applicable faculty members with monthly attendance sheets of all students.

Registrar & Financial Duties

  • Provide applications and information packets to potential new students, communicate with parents directly to answer all related questions and follow up.
  • Enter application information in database.
  • Monitor tuition collection and enrollment, scholarships, student withdrawals and discounts.
  • Collect, document and process payments for all tuition by set due dates, including setting up payment plan amounts, auto-pay and schedules. On a daily basis, update and review financial tracking spreadsheets for tuition and payments.
  • Position may include other duties as needed

Qualifications

  • Able to work well with children of all ages as well as adults
  • Background or experience in ballet, dance and/or music is required
  • Minimum of 2 years pervious administrative experience
  • Strong written and verbal communication skills in both English and Spanish
  • Excellent attention to detail and organizational skills
  • Ability to follow written and oral instructions
  • Strong written and verbal communication skills
  • Ability to work well independently and with others as a team
  • Excellent computer skills (high proficiency in Microsoft Office, excel, power point, and experience with Quick Books and Constant Contact a plus)
  • Must be highly organized, able to multi-task, prioritize and manage time
  • Must be able to work well under pressure and in a fast-paced environment
  • Language Requirements: English and Spanish; Russian, Haitian Creole or an additional language is a plus

Work Schedule: approximately 40 hours per week – Monday through Saturday, hours are negotiable. The schedule also includes scheduled performances, rehearsals, and other relevant events (usually with advance notice). Must be able to work occasional weekends and evenings.

Compensation: Hourly, based on experience and the opportunity to work for a professional ballet school with an amazing creative team of world renowned artists.
